Learn how to set up and manage your wholesale store on BearOrders
What is BearOrders?
Welcome to BearOrders! This guide will walk you through setting up your wholesale store and getting it ready to accept orders.
BearOrders is a multi-tenant B2B wholesale ordering platform. Each store gets its own subdomain (e.g., yourstore.bearorders.com) where your customers can browse products and place orders.

Your First Steps
1. Sign Up and Verify Your Email
Visit bearorders.com/signup and enter your business email. We use passwordless authentication - just enter the 6-digit code sent to your email address to sign in.
2. Create Your Store
After signing in, you'll create your store profile:
- Store Name - Your business name (e.g., "Acme Wholesale")
- Subdomain - Your unique URL (e.g.,
acme.bearorders.com) - Contact Info - Optional details for customer support
Choose your subdomain carefully - it cannot be changed later. Use your brand name or business name for easy recognition.
3. Add Your Products
You have two options:
Option A: CSV Upload (Recommended for Bulk)
Upload your entire catalog in one go. Our system automatically:
- Detects your column types
- Matches headers to product fields (with typo tolerance!)
- Identifies product variants
- Groups variant rows by product name
Option B: Manual Entry
Add products one at a time through the dashboard. Great for:
- Small catalogs (< 20 products)
- Adding products after initial upload
- Products with complex configurations

4. Share Your Store
Once your products are uploaded, your store is live! Share your subdomain URL (yourstore.bearorders.com) with your customers.
Understanding Your Admin Panel
Your admin panel at /admin/yourstore includes:
- Products - Add, edit, delete products and manage variants
- Orders - View and manage customer orders
- Analytics - Track sales and order metrics (coming soon)
- Settings - Configure store details and preferences

Common Questions
Can I customize my storefront?
Currently, all stores use a consistent design. Custom branding and themes are planned for a future update.
How do customers pay?
BearOrders is designed for B2B wholesale where payment happens outside the platform (invoicing, terms, etc.). Customers place orders and you handle payment offline.
What about inventory management?
BearOrders uses reference inventory (stock status) rather than real-time quantity tracking. Update stock status manually as needed.
Can I export orders?
Yes! You can export order data from your orders page (feature coming soon).
