Learn how to track your wholesale orders using passwordless tracking links
How Order Tracking Works
BearOrders uses a passwordless tracking system with unique URLs. No account or password needed!
When you place an order, you receive an email with two special links:
Order Tracking Link - View this specific order
- Example:
bearorders.com/order/k2x9abc... - Shows order status, items, and tracking info
- Share with shipping dept or customer support
Customer Portal Link - View ALL your orders from ALL stores
- Example:
bearorders.com/customer/clqw7x8y... - Shows complete order history across all BearOrders suppliers
- One link for everything - bookmark it!
You don't need to remember passwords or create an account. Just bookmark the Customer Portal Link sent to your email.
Accessing Your Orders
You have two ways to track orders:
Option 1: Order Tracking Link (Specific Order)
After placing an order, check your email for a message from your supplier. It contains:
- Order summary
- Order Tracking Link to view this specific order
- Supplier contact information
Click the Order Link to view your order details and status.
Option 2: Customer Portal Link (All Orders)
Your Customer Portal Link shows ALL orders from ALL BearOrders suppliers:

Understanding Order Status
Your order will show one of these statuses:
| Status | Meaning |
|---|---|
| Pending | Order received, awaiting supplier processing |
| Confirmed | Supplier confirmed and is preparing your order |
| Processing | Order is being prepared for shipment |
| Shipped | Order is on its way to you |
| Delivered | Order has been delivered |
| Cancelled | Order was cancelled |
Your supplier updates order status manually. Not all suppliers use every status - some may jump directly from "Pending" to "Shipped".
Order Details
Your order tracking page shows:
Order Information:
- Order number (last 8 characters of order ID)
- Order date
- Current status
Items Ordered:
- Product names
- SKUs
- Variant options (if applicable)
- Quantities
- Pricing (if shown)
Contact Information:
- Your email
- Company name
- Delivery address
- Special instructions
Tracking Information (when available):
- Shipping carrier
- Tracking number
- Delivery notes from supplier
Tracking Numbers
When your supplier ships your order, they may add:
- Shipping carrier name (e.g., "FedEx", "UPS")
- Tracking number
Use this information to track your shipment on the carrier's website.
Order History
Your customer portal (if you have the link) shows:
- All orders you've placed with that supplier
- Order dates and status
- Quick links to individual order details
Orders are sorted with newest first.
Your Links Never Expire
Your Customer Portal Link and Order Tracking Links:
- ✅ Never expire
- ✅ Can be bookmarked
- ✅ Can be shared (if needed)
- ✅ Work on any device
- ✅ No login required ever
Keep them safe! Anyone with the link can view your order information.
These links are unique and unguessable (~128-bit security). However, don't share them publicly as they contain your order information.
Multiple Suppliers
When you order from multiple BearOrders suppliers:
- One Customer Portal Link works for ALL suppliers
- See orders from all stores in one place
- Orders are grouped by store name for easy browsing
- Same email = same Customer Portal across all BearOrders stores
Unlike other platforms, BearOrders gives you ONE portal for all your wholesale suppliers. No need to manage multiple accounts or bookmarks!
Order Problems
If you have questions or issues with your order:
- Check order status - May already be updated
- Review order details - Confirm everything is correct
- Contact supplier - Use contact info from confirmation email
BearOrders is a platform - your supplier manages order fulfillment. Contact them directly for order-specific questions.
What You Can't Do (Currently)
The customer portal is view-only. You cannot:
- ❌ Edit or cancel orders (contact supplier)
- ❌ Request refunds (contact supplier)
- ❌ Update delivery address (contact supplier)
- ❌ Add items to existing orders (place new order)
Email Notifications
You'll receive email notifications for:
- Order confirmation (when you place an order)
- Status updates (if supplier enables notifications)
Make sure to:
- Check spam folder if emails don't arrive
- Add supplier's email to contacts
- Bookmark your Customer Portal Link
Finding Lost Links
If you lose your Customer Portal Link or Order Tracking Links:
- Check email - Search for "order confirmation" or "BearOrders"
- Check spam folder - May have been filtered
- Contact supplier - They can resend your Customer Portal Link
- Use any Order Tracking Link - It will show a link back to your Customer Portal
- Check your Customer Link - Search for the order in question
Privacy
Your order information is:
- ✅ Only visible to you and the supplier
- ✅ Not shared with other customers
- ✅ Specific to each supplier's store
- ✅ Protected by unique, unguessable IDs
